Payroll Coordinator –
Job Summary
As a key member of the finance team, the Payroll Coordinator will administer the payroll function for the employees of Dundee Bear Management, LLC and affiliated companies
Qualifications
- Associates Degree and/or a minimum of two years payroll experience preferred
- Strong written and verbal communication skills. Ability to communicate with all levels of management and staff.
- Excellent interpersonal and customer service skills.
- Strong organizational skills with attention to detail, documentation and process and ability to prioritize.
- High level of integrity when dealing with sensitive and confidential information / matters.
- Ability to effectively work in a team environment, as well as a capacity to work independently with minimal direct supervision in regards to routine processes
- Strong computer skills including spreadsheets, payroll systems
- Aptitude to understand basic accounting (including journal entries, general ledger, reconciliations)
- Ability to identify potential problematic issues, communicate these issues to supervisor and participate in the resolution of the problem
Principal Responsibilities
- Maintain all Payroll functions including time clocks, data entry, payroll deductions, and issuing paychecks.
- Interact with department managers on proper pay practices and approval of employee forms.
- Track employee benefits based on hours of service including vacation hours, PTO, etc.
- Print and distribute biweekly, monthly, quarterly, annual and ad hoc payroll reports
- Maintain personnel files customary to payroll and compensation activities
- Work closely with Human Resources department to maintain processes that support the timely and accurate documentation of all compensation activities
- Respond to requests from Human Resources and managers for employee information.
- Perform year-end tasks including preparing, distributing and ensuring the accuracy of employee W-2s and preparing all payroll tax filings in appropriate jurisdictions
- Ensure that any payroll related notices (i.e. from IRS, EDD and DOL) are addressed in a timely manner
- Ensure payroll service provider (i.e. ADP) makes necessary filings and payments in an accurate and timely manner
- Maintain procedure manuals for all major areas of responsibility
- Work closely with Accounting Supervisor to ensure that all benefits providers are paid in a timely manner and accounted for properly (i.e. 401k; medical benefits; dental benefits; vision benefits; etc)
- Prepare journal entries to record payroll related transactions into the general ledger
- Work with Accounting Supervisor to reconcile general ledger balance sheet accounts and bank accounts related to payroll, benefits and employee compensation
- Identifies and recommends process improvements
- Assist other departments during peak seasons as needed
- Other tasks and projects as assigned.

The Payroll Coordinator is a participant and key promoter of this team environment in our goal of providing excellent guest service. All Bear Valley staff members are expected to participate in fulfilling positions on a temporary basis or as long as the service is needed. Other duties as assigned will include but not be limited to positions such as cashiering/sales, main office/administration, rental shop, any retail, any F& B, parking attendant, snow removal and lift operations. Prior to assuming any one of these positions, training will be provided to ensure proper job knowledge of each position.
